Why Volunteers Matter

ESSLL is a volunteer-driven, non-profit organization. It takes a community of volunteers to keep Eastburg softball running.

From concession stand coverage to field prep, scorekeeping, and events, there is a place for everyone to lend a hand.

  • Coach and support teams on the field
  • Run safe and organized practices and games
  • Operate the concession stand
  • Prepare and maintain fields
  • Plan special events and fundraisers
  • Serve as Board members and committee leads

No previous softball experience is required for many roles—training is provided.

Who Can Volunteer?

Volunteers may include:

  • Parents and guardians
  • Grandparents and family members
  • College students and community members
  • Former players looking to give back

All volunteers who will have regular contact with players must complete the required background checks and any applicable clearances before starting.

Required Background Checks & Clearances

1. Little League Background Check

  • Required annually for all managers, coaches, and volunteers in regular contact with players.
  • You will receive a direct link from ESSLL to complete your check.
  • The league pays for the background check.
  • Results are confidential and handled by authorized league personnel.

2. State Clearances (if applicable)

  • Some volunteers may need additional state child safety clearances.
  • Links and instructions will be provided by ESSLL.
  • Some clearances last multiple years; others renew annually.
  • All documents must be submitted to ESSLL before volunteering.
Important: All background checks and clearances must be completed and approved before you begin your volunteer role.

How to Complete Your Clearances

  1. Register as a volunteer or notify the Board of your interest.
  2. Watch for an email from ESSLL or our background check provider.
  3. Complete the Little League background check online.
  4. Complete any required state clearances (if directed).
  5. Submit all documents to the league as instructed.
  6. Wait for confirmation that you are cleared to participate.

Volunteer Roles at ESSLL

On-Field Roles

  • Head Coach: Leads the team and manages practices and games.
  • Assistant Coach: Helps run practices and support players.
  • Practice Helper: Assists coaches at practices.

Team & Game Support

  • Team Parent: Helps with communication, schedules, and team organization.
  • Scorekeeper / GameChanger: Tracks scoring and stats.
  • Scoreboard Operator: Runs the scoreboard during home games.

League & Event Support

  • Concession Stand Volunteer: Supports concession operations.
  • Field Crew: Helps with basic field prep and maintenance.
  • Events & Fundraising: Assists with community events, tournaments, and fundraisers.
  • Board & Committees: Leadership and administrative support.

Volunteer Checklist

Use this checklist to make sure you are ready to volunteer with ESSLL. Not every item applies to every role.

For All Volunteers

  • Choose how you want to help (coaching, concession, team parent, scorekeeping, etc.).
  • Register as a volunteer or notify the Board.
  • Complete the Little League background check using your secure link.
  • Complete any required state clearances (if applicable).
  • Submit all clearance documents to the league.
  • Review the Parent & Guardian Code of Conduct.
  • Confirm your role and who supervises it.
  • Make sure ESSLL has your current email and phone number.

Before the Season Begins

  • Add key league dates (Opening Day, picture day, etc.) to your calendar.
  • Join your team’s communication channel (GameChanger, text group, etc.).
  • Review league policies for safety, weather, and fields.
  • Know where to find schedules, field maps, and contacts on the website.

Managers & Coaches

  • Attend the pre-season coaches meeting or orientation.
  • Review division rules (inning limits, run rules, pitching, etc.).
  • Pick up your team equipment bag.
  • Review emergency procedures and weather guidelines.
  • Plan your first practice.
  • Hold a brief parent meeting to review expectations.
  • Ensure a charged phone is available for all practices and games.

Team Parents & Game Support

  • Coordinate snacks or dugout support if needed.
  • Help organize volunteers for scorekeeping, scoreboard, or practice support.
  • Ensure families understand how weather and schedule alerts are sent.
  • Share key league updates and event information.
  • Assist with banners, photos, or end-of-season items (optional).

Concession & Event Volunteers

  • Review your shift assignment.
  • Arrive 10–15 minutes early for instructions.
  • Follow cash handling and food safety guidelines.
  • Assist with light setup or cleanup.
  • Notify the coordinator as soon as possible if you cannot make your shift.
